Working with Menus and Toolbars

To view the contents of a menu, click the menu name. The menu drops down from the menu bar to reveal a list of commands.

To execute a command, click the command name.

PowerPoint carries out the command, which may sometimes involve you selecting additional options from a dialog box.

Some commands reveal an additional submenu of commands. Move the mouse pointer over the command to view a submenu.

INTRODUCTION

Use PowerPoint's menus and toolbars to execute commands and perform tasks. The menu bar groups related commands and tasks under menu names. For example, the File menu includes commands to help you work with PowerPoint files. Toolbars contain clickable shortcuts, in the form of buttons, to common commands.

Opening Dialog Boxes

Menu commands followed by three dots open a dialog box of more options you can choose from.

TIP

Issuing Keyboard Commands

You can also use your keyboard to execute menu commands in PowerPoint. Pressing the Alt key along with the underlined letter in a menu name opens the menu onscreen.

To execute a toolbar command, click the command's toolbar button.

TIP

Using Shortcut Keys

Shortcut keys appear next to certain command names and allow you to execute the command without using a menu. For example, you can press F7 to access the Spelling command.

Which Button Is Which?

To find out the name of any toolbar button, simply move your mouse over the button and pause. A ScreenTip appears with the button name.

TIP

Hiding and Displaying Toolbars

To hide a toolbar so that it no longer appears on the screen, select View, Toolbars, and then select the toolbar you want to hide. To display the toolbar again, repeat this procedure.
