Select the message you want to flag. |
Open the Actions menu and choose Follow Up. A submenu containing a list of available follow-up flags appears; click the flag you want to assign. |
The message is flagged with the color you chose. |
INTRODUCTIONYou should get in the habit of handling messages as you receive them, removing them from your Inbox. If a message can't be handled immediately, however, you can flag it for action. You can then easily find messages that require your attention. Flagged messages are placed in the For Follow Up folder. |
TIPClearing a Flag One way to remove a flag is to select the flagged message and then choose Actions, Follow Up, Clear Flag. Alternatively, you can mark the follow-up activity as complete, using a completed flag. To do so, select the message, and then choose Actions, Follow Up, Flag Complete. |
To set a reminder for the flag (that is, to note what action you need to perform for follow up), open the Actions menu, choose Follow Up, and click Add Reminder. |
The Flag for Follow Up dialog box opens. Click the down arrow next to the Flag To field and select the appropriate follow-up action from the list that appears. |
If needed, enter the deadline date and time. |
Click OK. The flag is set, as is the reminder you entered. |
HINTOrganizing Mail In addition to flagging, Outlook provides several other ways to keep your messages organized. For example, you can move messages to folders, use colors, or assign categories. Part 4 covers these options. |
TIPViewing Flagged Messages To easily find all flagged messages, open the For Follow Up folder. Alternatively, sort on the Flag column. To do so, click the Flag column in the mail folder. If you assigned different-colored flags to different messages, each flag type is listed together. You can then easily work with any flagged message. |
